A guide to setting the Operating Balance to display on your Invoice

Introduction

By default, the Operating Balance of a Matter (the amount of Funds available to be moved around to different portions of the Matter) is not displayed on a Invoice. We’ll use this Guide to show you how to get it to display, as well as how to customize the language that the Invoice uses for. This one’s pretty short, so let’s begin!

Setting your Operating Balance

By default, your Operating Balance does not display in your Invoices, so to turn it on, first, we need to get your Business Center. As usual, if you’re not Admin, you may not have access to this, but otherwise, click the Business Center Entity on the left side of the screen.

Then, choose your Business Center. Usually, you’ll only have one.

From here, click the Advanced Tab on the top.

And then scroll down to this section here.

By default, the Operating Balance on Invoice has no Value and Defaults to Hide, so leaving this blank is the same as choosing Hide. But setting it to Show will cause it to show on your Invoices. We’ll look at what that means, below.

Next, the Custom Operating Balance Label allows you to change the name that displays. By default, if you leave it blank, it will read Operating Balance on Invoices, but for our example, we’ll change it to Money that we can Use.

Now that we’ve set these to what we want, click Save & Close.

The Operating Balance on an Invoice

Now, let’s see what this looks like on an Invoice. Go to a Invoice on a Matter that you know has an Operating Balance. I’m using this Matter, as an example, because I know that it has an Operating Balance.

Now find a Invoice for this Matter. I’ll choose this one.

And then click Preview PDF.

And now we can see the Operating Balance displayed on the Invoice, using the language that we set up ourselves! Our title’s too long, as we can see here, so be sure to make yours a little more concise.

And that’s it! Use this Guide for just a touch more granular customization in your Invoices!
